Cancellation policy

We require 24 hours notice when cancelling an appointment. This allows the opportunity for someone else to schedule in your place.  If you are unable to give 24 hours notice to cancel your session, you may be subject to a partial (50%) payment. 

Client boundaries

Your massage is supposed to be catered to you and your needs.  Therefore, we expect you to inform us if our pressure, music volume or room temperature needs to be adjusted. This especially goes for treatments that involve more elements like heated stones or essential oils.   You as the client also have the right to refuse service for specific reasons.  Whether you are feeling ill, are on-call and have to tend to work, or just aren't feeling as if you are getting the treatment you were expecting, we want you to feel safe when telling us what's on your mind and have the ability to end the session if you are not comfortable. Sometimes, a person can experience a SER (Somatic-Emotional Response). In the event of this happening, we will stop the session, bring what's happening to your attention, and at that time you can either express your feelings in our safe, non-judgmental space or ask to be left alone until you are feeling comfortable again.  From there, you can decide whether or not you would like to continue or reschedule your session.

essential oil & product disclaimer

The information and advice provided about the essential oils we use or homemade products we sell have not been evaluated by the FDA. The products and methods recommended are not intended to diagnose, treat, cure, or prevent any illness or disease, nor is it intended to replace proper medical help.  If you are concerned about potential side effects that can accompany the use of certain products (usually due to skin sensitivities or allergies), are pregnant, breastfeeding, or simply have questions about the essential oils we use or certain ingredients found in our products, please consult your primary health care provider before purchasing and using.

EXISTING and new medical conditions

It is the responsibility of the client to inform their massage therapist of any and all medical conditions. In certain situations, like in the case of cancer patients undergoing chemo or after certain medical procedures, a doctor's note may be required before any session will be administered.  It is also your responsibility to keep us informed of any changes to your health or medications. By signing our electronic waiver, you agree not to hold Where Soul Meets Body liable if you should forget to do so. We also ask if you are experiencing a contagious ailment (i.e. common cold/influenza, impetigo), that you reschedule your appointment. In the event that our therapist is experiencing a contagious ailment and is unable to work for the day, we will call each individual to reschedule and you will NOT be charged for your scheduled session. 

Events and Spa Parties

We strive to put our best foot forward when arriving at your office, party, or event, so having proper planning time is essential.  Therefore, on top of insuring availability, we ask that you book your parties at the very least two weeks prior to the date.  At the time of booking (or if you inquire prior to), an estimate sheet will be provided and will include information such as type of event, amount of people expected, and location. These will all be used to come up with your quote. Whomever is hosting the event/party will be the direct contact and responsible for giving payment.  In the event of a spa party, they will be responsible for providing the $50.00 deposit at the time of booking. If the party is cancelled less than 48 hours prior to the party, this deposit will be forfeited. Intoxicated individuals at any event will not be given treatment.  If any event or party ends early because of circumstances not due to the therapist or natural disaster, the host will still be required to pay in full. Facials

All facials are done by a licensed massage therapist.  No extractions are performed and are for relaxation purposes only.

intake forms

Intake forms are sent prior to your first appointment through e-mail, therefore we ask that you provide a valid e-mail address.  If you do not have access to e-mail or internet on a day-to-day basis, we will provide you with a hard copy on the day of your visit.  Please fill out these forms to the best of your knowledge as certain ailments are contraindicated by massage and may need a physician's clearance before proceeding with any session; additionally, these forms provide us with a detailed information about your session goals and preferences to make your massage as enjoyable and effective as possible. All clients will additionally have to fill out a Covid-19 symptom/waiver form when they arrive for their appointment.

Late arrivals

Although we ask that you try to arrive 10-15 minutes before your session start time to discuss session goals, we do our best to make up for lost time in the event of a late arrival.  That being said, we have to be fair to all clients. While we will try to reach all of your session goals in the allotted time, please be advised that your session may be shortened if clients are scheduled after you.  If you are more than 20 minutes late, we will try to reach you.  After that, you will be treated as a no call / no show and may be subject to a fee (see above). Individuals who are expected but plan to be more than 25 minutes late for their scheduled time, may be asked to reschedule and the original treatment time & cost will be charged.

MISCELLANEOUS policies and procedures

  • Please do not arrive to your appointment under the influence of alcohol or drugs, as it is a contraindication and massage will not be administered.

  • We ask that you please show up to your appointment with good hygiene. Professional hygiene requirements also apply to the massage therapist and all linen or equipment that may be used.

  • Clients will be modestly draped during their entire session. You may undress to your level of comfort and only the part of the body we are working on at that moment will be exposed.  

  • Out of courtesy for the other tenants and clients who may be in the building, we ask you to please turn down or off the ringer to your cell phone and to please keep your voices to a minimum in the hallways.

  • Please wait in the designated waiting area. Do not attempt to knock or walk into the actual studio, especially if the office door is closed, as we may still be with a client. Enjoy the provided reading material and we will be with you when ready!

no call / no show

If you do not call to cancel and also fail to show up to your appointment, we will attempt to reach you.  If you cannot be reached, or if you simply forget, you may be subject to partial (50%) or full payment.  If you no call /no show two appointments, you will be required to pay in full when booking your appointment.

privacy policy

Where Soul Meets Body strives to be a safe, trustworthy place. Your massage therapy records are kept in a safe area and all information, whether written or told verbally, is confidential & HIPAA compliant. We do not share your information with third party companies and we will ask for written consent before contacting or distributing files to your primary care physician, chiropractor, psychologist, or other medical professional. Records may be surrendered if required by law.

professional boundaries

Massage Therapy is strictly therapeutic and non-sexual in nature.  Any requests or inappropriate discussion for sexual activity will NOT be tolerated, will be viewed as solicitation, and your session will end immediately. You will also be reported to the proper authorities.  You will still be responsible to pay in full & will be banned from rescheduling at Where Soul Meets Body in the future. We also have the right to refuse service to anyone or end any session early that we see fit. 

referral program

We appreciate you referring your friends, family, and colleagues to Where Soul Meets Body.  As a token of our appreciation, we offer $10 off for each client who books as a result of your referral.  Each $10-off card we receive with your name listed as the referrer can be used towards a series of sessions or at the time of one appointment.  Essentially, the more you refer, the bigger chance you have to receive discounted or free services! All "points" must be redeemed within one year of the referred person's first appointment. 

Sales Tax

All service and product prices are pre-taxed. NJ's sales tax will be added to every purchase. Products bought online by individuals who do not reside in New Jersey and massage appointments prescribed by a doctor or chiropractor are exempt from having to pay sales tax. 

scope of practice

Because we are proud to be Board Certified, Where Soul Meets Body strives to abide by the highest ethical standards of our profession. Massage Therapy is provided for stress reduction, relaxation, relief from muscular tension, and improvement of circulation and energy flow.  We will only perform techniques in which we are trained and able to do.  Clients will be referred to the appropriate specialist, should techniques fall out of massage therapy's scope of practice or if massage is not in the client's best interest.  We will never diagnose, prescribe, treat physical or mental illness, or perform spinal adjustments, as massage is not a substitute for medical care. 

series program

All sessions purchased through our series program must be used within one year of purchase.
